WhatsApp Group Messaging: Text, Media, and @All Tagging in One Click
February 16, 2026 · 6 min read
You need to send the same message to 30 groups. So you copy it, open the first group, paste, send, open the next group, paste, send — and you do this 30 times. Every single day. Some days it's 50 groups. By the time you're done, an hour of your day is gone and you haven't done any actual work.
WASBOT turns that into one click. Pick your groups (or pick a saved collection of groups), write the message, hit send. Text, images, videos, audio — it all goes out to every group you selected, from the cloud.
Sync Your Groups First
Before you can send anything, WASBOT needs to know what groups you're in. Head to the Groups page and hit Sync Groups — or send yourself groups in WhatsApp. WASBOT pulls all your groups, splits them into Admin Groups (where you're admin) and All Groups, and gives each one a number.
That number is how you pick groups when sending from WhatsApp. It looks something like this:
1. Family Group (8 members)
2. Marketing Team (45 members)
3. Pot TV Subscribers (312 members)
4. Customer Support (23 members)
From the dashboard you just check the boxes — no numbers needed.
Sending Text
From the Dashboard
Go to the Groups page, check the groups you want, type your message, and hit send.
From WhatsApp
Send yourself a text command with the group numbers:
| Command | What it does |
|---|---|
text 1,3,5 Your message | Send to groups 1, 3, and 5 |
text 1-5 Your message | Send to groups 1 through 5 |
text all Your message | Send to every group |
WASBOT sends the message to each group one at a time (not all at once) to keep your account safe. You'll see which groups got the message as it goes out.
Sending Media
From the Dashboard
Same flow as text, but click Upload Media first. Pick an image, video, or audio file, add an optional caption, and send. The media goes out to every selected group with your caption attached.
From WhatsApp
Send the image or video to yourself, then reply to it with a text command:
text 1,2,3 Here's the new flyer!
The media from the message you replied to gets sent to groups 1, 2, and 3 with your caption.
What You Can Send
| Type | Formats | Max Size | Caption |
|---|---|---|---|
| Image | JPG, PNG, WebP | 16 MB | Yes |
| Video | MP4, MOV | 16 MB | Yes |
| Audio | MP3, M4A, OGG | 16 MB | No |
Audio files play inline in the group chat — good for promo jingles, podcast clips, or event teasers.
Tagging All Members
Regular group messages are easy to miss — they just sit there. The tag command mentions every member in the group so they all get a notification, the same way @all works in Slack or Discord.
tag 1,2 Important announcement — please read!
Works the same as text — single numbers, ranges (tag 1-3), or all. You can also tag with media by replying to an image or video with a tag command.
One catch: you have to be admin in the group to tag. WASBOT already knows which groups you're admin in — that's why admin groups get their own tab on the Groups page.
From the dashboard, when you're on the Admin Groups tab, sends automatically include @all tagging. Switch to All Groups and it sends as a regular message without tagging. No extra button to press.
Disappearing Messages — WASBOT Follows Your Group's Setting
If a group has disappearing messages turned on (24 hours, 7 days, or 90 days), every message WASBOT sends to that group — text, images, videos, audio, the whole lot — disappears on the same timer. You don't flip a switch anywhere. WASBOT reads the setting straight from WhatsApp when you sync, and any time someone changes the timer we pick it up automatically.
So if you run a VIP customer group on 7-day disappearing, your daily blast cleans itself up on the same schedule. If you have a mix of disappearing and permanent groups in the same send, each one follows its own setting.
Collections — Group Folders
If you're sending to the same 15 groups every morning, checking 15 boxes every single day gets old fast. Collections fix that.
A collection is a saved list of groups — think of it like a playlist. "Lagos Vendors", "Monday Promos", "VIP Clients" — whatever makes sense for how you work. Create the collection once, add your groups, and from then on you just click the collection name and all its groups get selected. One click. Send.
You'll find collections at the top of the Groups page. Hit the + button to create one, give it a name, search for your groups and add them. A group can be in more than one collection — your "VIP Clients" group can live in both "Daily Blast" and "Lagos Groups" at the same time.
To edit or delete a collection, use the pencil and trash icons next to it. Deleting a collection only removes the folder — your actual WhatsApp groups stay untouched.
Tips
- Tag sparingly. If you tag every day, people mute the group and your tags stop working. Save @all for things that actually matter.
- Lead with images for product launches. A good product photo with a one-line caption converts better than a wall of text.
- Use collections religiously. If you find yourself selecting the same groups more than twice, make a collection. It saves you time every single day.
- Send videos for how-tos. Quick tutorial clips get way more engagement in groups than text explanations.
Scheduling Group Messages For Later
Don't want to send right now? Hit Schedule instead of Send on the Groups page. Pick a time — quick options like 5 minutes or 1 hour from now, or a specific date and time — and WASBOT delivers it when the clock hits. You can set your timezone and even make it recurring (daily or weekly) so a Monday morning blast goes out every Monday without you touching it.
The full guide on timezones, recurring schedules, and managing your queue is in Scheduled Messages.
